Setting Up Microsoft 365 Email

Overview

Microsoft 365 (formerly Office 365) provides business-class email through Outlook, along with the full suite of Office applications, OneDrive storage, and Microsoft Teams. With Microsoft 365, you can send and receive email using your own domain name (you@yourdomain.com) backed by Microsoft’s global infrastructure.

Prerequisites

  • A registered domain name managed through 10Corp or another registrar
  • Access to your domain’s DNS settings
  • A Microsoft 365 subscription (Business Basic, Business Standard, or Business Premium)

Step 1: Subscribe to Microsoft 365

  1. Visit microsoft.com/microsoft-365/business and select a plan.
  2. Create or sign in to your Microsoft account.
  3. Complete the purchase and access the Microsoft 365 Admin Center at admin.microsoft.com.

Step 2: Add Your Domain

  1. In the Admin Center, go to Settings > Domains > Add domain.
  2. Enter your domain name and click Use this domain.
  3. Microsoft will ask you to verify ownership by adding a TXT record to your DNS:

  1. Log in to your 10Corp domain dashboard, add the TXT record, and return to Microsoft to verify.

Step 3: Update DNS Records

After verification, Microsoft provides the DNS records needed to route email and enable services. Add the following:

Step 4: Configure DKIM

  1. In the Admin Center, go to Security > Email authentication > DKIM.
  2. Select your domain and generate DKIM keys.
  3. Add the two CNAME records provided to your DNS.
  4. Return to the Admin Center and enable DKIM signing.

Step 5: Create User Mailboxes

Navigate to Users > Active users > Add a user. Assign each user a Microsoft 365 license that includes Exchange Online to activate their mailbox.

Step 6: Configure Email Clients

Microsoft 365 supports:

  • Outlook desktop app — Auto-configures using the Autodiscover CNAME record.
  • Outlook mobile — Download from your app store and sign in with your Microsoft 365 credentials.
  • Web access — Sign in at outlook.office.com.
  • Third-party clients — Use IMAP (outlook.office365.com, port 993) and SMTP (smtp.office365.com, port 587).

Step 7: Migrate Existing Email (Optional)

Microsoft provides migration tools in the Admin Center. You can migrate from IMAP servers, Google Workspace, or Exchange. For large migrations, consider using a third-party tool like BitTitan MigrationWiz.

Tips

  • Enable Multi-Factor Authentication (MFA) for all accounts.
  • Set up a DMARC record (e.g., v=DMARC1; p=quarantine; rua=mailto:dmarc@yourdomain.com) for additional email security.
  • DNS propagation takes up to 48 hours — plan your migration accordingly.
